Privacy Policy

What we collect

We collect the information you provide when you submit the free site audit form: your name, work email, optional mobile phone number (only if you choose to provide one), clinic name, and clinic URL. We also collect standard server logs (IP address, browser type, referring URL) via Cloudflare, and traffic analytics described in "Analytics and tracking" below.

What we don't collect

We do not collect, receive, process, or store any patient health information (PHI). Our audit intake is explicitly designed to exclude PHI. If you inadvertently include PHI in a form submission, please contact us immediately at [email protected] and we will delete it.

Analytics and tracking

We use three third-party services on this site to understand how visitors find and use the site, and to measure paid advertising performance:

  • Google Analytics 4 (GA4). Aggregated traffic measurement: pageviews, session duration, traffic sources, and approximate geographic region. IP addresses are anonymized before storage. We do not pass personally identifiable information to GA4.
  • Microsoft Clarity. Anonymized session replay and heatmaps to help us improve site usability. Form inputs are masked by default. Clarity does not capture passwords, credit card numbers, or other sensitive fields.
  • Google Ads conversion tracking with Enhanced Conversions for Leads. When you submit a form, we send hashed (SHA-256) versions of your email, name, and phone number to Google so it can attribute conversions to ad clicks. The hashes are one-way and cannot be reversed by Google or by us. We never send plain-text personally identifiable information to Google for ad measurement.

These services set cookies and use local browser storage. You can block them at the browser level, via an ad blocker, or by disabling third-party cookies in your browser settings. Doing so will not affect your ability to use this site or submit forms.

How we use your information

We use your contact information to deliver your audit results and, if you request it, to follow up about our services. We do not sell your information to third parties. We do not share your information with third parties except as required to deliver our services (see our sub-processor list at /security).

SMS text messaging

If you provide a mobile phone number on the audit claim form and explicitly check the SMS opt-in box, we may text you about your audit, scheduled calls, and follow-ups to email conversations. SMS opt-in is unchecked by default. We will never text you without your explicit affirmative consent. We use Twilio as our SMS service provider. Phone numbers and SMS opt-in status are stored alongside your audit submission and are not shared with third parties for marketing.

To stop receiving SMS, reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message. Reply HELP for contact information. Message and data rates may apply. Message frequency varies (typically 2-4 messages per month while you are engaged). Full details are in our Messaging Policy.

Data retention

We retain audit submission data for 24 months. You may request deletion at any time by emailing [email protected].

Your choices

You can opt out of GA4 by installing Google's browser opt-out add-on. You can opt out of Microsoft Clarity by enabling "Do Not Track" in your browser. You can opt out of Google Ads personalization at adssettings.google.com. You can also request deletion of any data we have collected about you by emailing [email protected].
